Overview

Talent Pool - Administrative & Clerical
This position is accountable for coordinating the day-to-day activities of the Strategy and Planning Team (SP Team) and providing administrative and operational support to ensure optimal productivity of team members. This position requires strong organizational skills in order to multi-task and prioritize assignments and requests. Such assignments include administrative and office management tasks, preparing communications, creating presentations, interacting with leaders throughout the health system, taking notes, receiving direction from others, and representing the SP Team.

 

Responsibilities

 

 
  • Provides administrative and clerical support for the Strategy and Planning team, including an Executive Director and 8 other individuals.
  • Responsible for administrative duties, such as maintaining and coordinating schedules, filing, ordering supplies, completing relevant documentation such as Kronos timekeeping, and clerical support. Screens and responds to questions and phone calls, directing inquiries to appropriate persons. Monitors and maintains office supply systems.
  • Independently processes and prioritizes email, invoices, contracts, credit card statements, travel reimbursement and arrangements, etc.
  • Assists with project/workstream tracking for the team, including visual management.
  • Manages logistics for meetings, i.e. ordering meals, drafting agendas, printing and collating materials, setting up rooms, checking audio-visual equipment, etc.
  • Assists with document preparation for presentations, Certificate of Need applications, reports, etc.
  • Involved in special projects, such as Certificate of Need submissions, as assigned.
  • Participates in continuing education to maintain and improve expertise in administrative duties.

Qualifications

 

EDUCATION:
Required:  High School Diploma
Preferred:  Bachelor's Degree with 1 to 2 years of administrative support experience within a professional business, legal, healthcare, and/or academic setting; or an Associates Degree with 3 to 4 years of administrative support experience within a professional business, legal, healthcare, and/or academic setting

 

EXPERIENCE:
Required:  More than 5 years administrative support experience within a professional business, legal, healthcare, and/or academic setting.
