This position is responsible for performing a variety of functions related to scheduling of Advanced Cardiac Imaging exams, consults and office visits. Coordination with anesthesia and other providers is required. Demonstrates strong communication skills to include telephone, verbal, written and email. The schedule for this position is Monday - Friday, 8:30am - 4pm.




  • Demonstrates exceptional competency and accuracy with scheduling all Advanced Cardiac Imaging related exams. Coordinates anesthesia as needed. Assesses orders through CHL work queues for the purpose of completing the scheduling process. Ensures correct patient (using MRN) and exam are selected for the appointment. Verifies order, scans all related documents, and matches orders to scheduled exam. Calls patients/referring office to schedule appointment and review instructions and address scheduling questions. Initiates resolution with primary care and/or referring office for incorrect orders and abnormal lab values pertaining to procedures. Responsible for assuring all exams requiring pre-authorization are compliant prior to date of exam.
  • Accurately completes pre-registration for scheduled exams to include complete documentation of authorization information. Coordinates interdepartmental and multidisciplinary scheduling systems. Coordinates visit and/or exam procedure between physician scheduler, modality schedule(s), Anesthesia department. Coordinates participation of product rep if necessary. Send Pre-Certification Request form to appropriate parties with patient?s insurance information, physician, CPT codes, ICD-10 codes, and estimated procedure date to obtain insurance pre-certification for the intervention when needed.
  • Coordinates new and established patient consults in conjunction with physician and participates in scheduling, consent, patient instructions and prep for procedure.
  • Coordination of post Advanced Cardiac Imaging follow up, including documentation, scheduling of imaging exams, consult visit for results and physician recommendations.
  • Demonstrates extensive knowledge of Radiology CPT codes, ICD-10 codes, anatomy, physiology, medical terminology, exam preps and specific modality procedures.
  • Consistently prioritizes and manages incoming / outgoing correspondences (emails, faxes, phone calls, etc.). Maintains a professional demeanor to include telephone etiquette, effective verbal communication, problem solving, and facilitates the prompt and accurate response to customer questions. Pro-actively shares issues and process opportunities with management.
  • Collect, track, and compile data and quality information for reporting. Assist clinical staff as needed



Required:  High School Diploma or equivalent
Preferred:  Associates degree


Required:  1 year of medical office or hospital clerical experience. Typing and computer operation (data entry) skills required. Insurance Authorization/Verification knowledge required. Medical office/hospital clinical coordination experience required. Minimum of one year.
Preferred: Medical Office Assistant experience and/or a minimum of one year experience in medical office setting is preferred.
