The Events Logistics Specialist managers our special events coordination for the Impact Alamance Conference Center in alignment with community goals for the three pillars of healthier, smarter, and stronger. This position is responsible for coordinating and managing the various operational aspects of the Impact Alamance Conference Center and foundation projects, including overseeing supply orders and maintenance of the center and office building. This role serves as the main point of contact for the center. The position also supports the Office Administrator and Vice President(s) by organizing meetings and events, updating project schedules, and administering, collecting, managing and distributing information for foundation projects. |
? Internal and External Communication Support: Demonstrates exceptional customer service to internal and external customers, individually and as part of the Impact Alamance Team. In collaboration with the Communications and Advocacy Director manages daily operational communication for the Impact Alamance Conference Center and those it serves in the community. Processes routine correspondence and notifies manager and Vice President(s) of priorities and urgent situations. ? Events Coordination: Works collaboratively with staff across all functional and programmatic areas to execute meeting logistics, including event budgeting, conference space allocations, catering, accommodations, travel, technology and audiovisual needs, VP support, and processing invoices. ? Administrative Support: Maintains calendars for the conference center and Vice Presidents to assure efficiency and effectiveness. Provides exceptional service for all customers of the Impact Alamance Conference Center. Maintains efficient office operations to support effectiveness of the foundation?s programs. Serves as the main point of contact for building maintenance needs and requests. Coordinates with supervisor and Impact Alamance team to ensure repair requests are submitted and handled in a timely manner. ? Data and Reporting Administration: Develops, implements and manages a collaborative document control/information management system to organize and track conference center and program documents, communication, activities and progress. Develops and publishes routine project status reports including standard reports for project visual management systems. Develops high-quality professional presentations for various audiences as requested. |
EDUCATION: |
Required: Associates Degree Preferred: Bachelors Degree in Business Management. Business Administration, Hospitality Management, or Project Management. |
EXPERIENCE: |
Required: 3 years of experience for Bachelor's degree 5 years of experience for Associate's degree Three years (for Bachelor's degree) or five years (for Associate's degree) experience in an executive-level administrative support or project management role, working both independently and in a team-oriented, collaborative environment. |
