Overview

This position is accountable to provide clerical and administrative assistance primarily to members of the management team.

Responsibilities


Provides a variety of administrative related services to the management team and medical staff which include, but are not limited to: compose, type, copy, scan and distribute a variety of correspondence, reports, and spreadsheets; maintains director's and conferences room schedules; screens and responds to general inquiries, questions, and telephone calls directing inquiries and information to appropriate departmental personnel

Coordinates special projects, meetings, lunches/dinners, travel and training for department personnel. Provides notification to parties involved via email, paging, Outlook meeting invitations, calendar updates and posting of notices on departmental bulletin boards

Process financial paperwork to include: coding and submitting invoices to Accounts Payable; completing and submitting check requests and reimbursement forms; reviewing and coding credit card charges for sign-off. Review monthly A/P distribution reports and credit card statements for accuracy. Assists with budget preparation by requesting quotes; tracking variable expenses; and monitoring CME expenditures for Advanced Practice Providers (APPs).

Assists with preparing the physicians' monthly and annual schedules. Keeps track of time off requests from physicians. Notify call groups, answering services and all other affected parties of the schedule and schedule changes.

Order and maintain supplies, forms, magazines, newspapers and patient information brochures for the office, Lab, and/or breakroom.

Assists with credentialing of new physicians as well as re-credentialing of existing physicians.

Interfaces courteously and effectively with patients, visitors, vendors, and organizational staff by providing assistance, answering questions, etc., in a confidential and professional manner

Qualifications


EDUCATION:
High School Diploma or equivalent, Required

Associates, Preferred


EXPERIENCE:
Knowledge of medical terminology and experience in a health care setting preferred. EPIC experience preferred. An equivalent combination of education and experience may be considered. Experience with purchasing and requesting quotes preferred
